Refund directly via GemaPark

We now have the functionality to process a refund directly from GemaPark.

We now have the functionality to process a refund directly from GemaPark.

This option is currently only supported with SagePay/Opayo/Elavon. Your payment provider must be SagePay/Opayo/Elavon to be able to process refunds via GemaPark.  

Refund Permissions

The following user roles are currently only able to process a refund - SysAdmin, Admin, Manager and Accounting roles.

Your access must be one of these to be able to process a refund already.

To be able to refund real payments in GemaPark you must then be assigned the new ‘Refund’ role. This is a separate role to sysadmin and must be assigned individually.

Process a refund

When you need to process a refund, you would cancel the booking in the normal way and then you can view the ledger.

Hit the refund button against the payment you want to refund.

When you click the refund button from the ledger you’ll go to the Record Payment screen. You can change the amount you want to refund to that which you may require:

If the user permissions are satisfied, you will get an extra ‘Card Refund’ button next to the save and cancel button.

Click the Card Refund button and a pop up will appear like this:

Refunds can only be made against the original payment card method. Therefore, if you need to refund it elsewhere you cannot use this option and you will have to do it manually.

The amount to refund, the end of the card payment numbers, and the expiry date will be confirmed to you to clarify this with your customer.

Click Yes and the refund will be processed directly back to the customer.

The ledger will update with the refunded amount and balance should be back to 0, or the amount you require it to be after processing this refund.

You will be directed to the documents screen to send the customer a cancellation document, or similar if required.

If no suitable transaction could be found to make a refund against, you’ll get the following pop up appear:

You will not be able to process the refund through GemaPark and will need to do this via SagePay/Opayo/Elavon.

If you try to refund more than is left refundable on a transaction, you’ll get the message:

The total refunded on this transaction would exceed the original amount.

Or if the original transaction has already been fully refunded, you’ll get the message:

The original transaction has already been fully refunded.

Multiple refunds against a single transaction are possible, as long as they don’t go over the original payment amount.
