Make a booking
To make a booking, click the Chart icon at the top right-hand corner. This will open up the Availability Chart.

There are 2 ways to create a booking in GemaPark:
Quick booking – loads the online booking process and allows you to process a payment with the customer over the phone. This route obeys the online booking rules setup.
Create Booking – loads the full booking form in GemaPark and allows you to manually process the payment. This route obeys any GemaPark booking rules setup.

Quick Booking - Page One
Find the unit you would like to make a booking on. You can either click on the first day and drag along to cover the date(s) you want, or click on the first day and enter the number of nights on the bubble that appears.
Click Quick Booking and the booking window will open over the chart for you.


Find customer: Click find customer and you can enter the customers name to see if they are in GemaPark.
Loading the customer record in on this page will make the booking process easier as it will add the record to the existing customer in GemaPark. You can also do this on page 2.
The available records will display and you can select use if that is the record you require. If none of the records returned are the ones you want do not select a record and carry on as normal.

Tent / Caravans:
Only shown when booking a touring/camping pitch.
Change this to the required unit to get the correct price on the booking.
Hard Standing Electric:
The pitch name is shown as a header to the occupants assigned to the pitch.
Pitch Occupants:
Select the occupants you want on the booking using the dropdown and the booking will price for them accordingly.
Extras:
Add on any extras that are available for the booking.
Pressing add will allow you to update the quantities of each extra and indicate the price.
If there are event extras you will be able to select the time slot after pressing add.
Additional Information:
Any public facing configurable fields are asked here.
Red mandatory fields will need to be complete in order to proceed to page 2 of the booking form.
Booking Summary:
This is populated as the booking form is complete and calculates in real time.
If you have discount codes available enter them under the booking summary and the discount will be applied for you.
Continue:
Click Continue to proceed to the next page.
No Pricing Message

After clicking quick book sometimes you will be presented with a screen that says no pricing could be found.
This happens because the quick book rules are based on the web settings. You may not be able to price the break due to any of the following reasons:
The unit is not bookable online.
There is no tariff available to book online.
Booking rules could be applied to prevent the unit being booked outside of changeover days or arrival rules.

Find Customer:
If you found your customer on page one then “find customer” is hidden and the booking form is populated with the customers information.
If you did not find them on page one you can now click “find customer” and you can enter the customer’s name to see if they are in GemaPark.
If you can’t “find” your customer, or they have never been to your park before, simply enter the customer’s details in the boxes provided.

Additional Information:
How did you hear about us is the booking source question.
Tick Yes/No to receive news and special offers.
Tick Yes/No to share 3rd party details.
You cannot progress without completing the asterisked fields.
Payment details:
You have the following options when using quick book.
Pay Deposit - enter card details from the customer and collect a deposit if you meet the deposit rules.
Pay Total - enter card details from the customer and collect the total amount if you don’t meet deposit rules or the customer wants to pay in full.
Book without pay - don’t enter any card details and make the booking without paying any money.
Making a payment at this stage will use a moto account (if set up) and the payment will be added to the ledger and documents.

When the payment is complete it will navigate you back to the chart and if set up the system will auto send a booking confirmation for you.
The booking confirmation trigger is set up under the documents list in admin. If no document is wired up, we can fix this for you.

Your booking is now complete.

Create Booking
Find the unit you would like to make a booking on. You can either click on the first day and drag along to cover the date(s) you want, or click on the first day and enter the number of nights on the bubble that appears.
Next to create booking, the price shown in the bubble is the current website price for the break, based on the web qty of occupants.
Click create booking and the first page you are presented with is adding or finding a customer.

If your customer has not been to your park before, enter as much information as possible here - you will need the minimum of a last name to complete the booking - then click ‘Save’.
If you think the customer has stayed before you can fill in any of last name, email or post code and click ’Find’ to find the existing customer.
Possible duplicate customers will appear and you can select the customer record from the list to enter the booking against if they match the record. If the list does not bring back any matches you can click create as new.

Having added or found the customer, you will be taken to the booking screen.
Complete the booking form with all of the booking details as required.
